A lot of organizations think that saving unstructured information like documents in the ERP-system is a solution. In practice, ERP-systems are very limited in functionality compared to a full document management system (DMS). It starts with the search: you will need the customer name or number to find the linked documents. You can not directly search for the documents. It is also often not possible to search in documents. Furthermore, there is a lack of advanced features such as rights and access management, version control and audit trails. Finally, an ERP system provides enterprise-wide solutions.
Only a full digital archive or DMS system provides advanced functionality for a company-wide implementation. Besides the previously mentioned features, it also facilitates automatic archiving including email, scan-to-archive documents of different streams (invoices, orders, delivery notes, forms), web access for employees and customers.
Through the extensive search functionality, the appropriate documents can be found in seconds and they can be viewed directly in the integrated viewer, forwarded (as a hyperlink!) and printed. DMS also offers the potential to monitor the status and it lays the foundation for workflow applications. The payback period of a DMS is generally between 6 and 12 months! This is dependent on the scope of the project and the number of users. Individual employees have a limited information span and can not oversee all business needs.
